Overview:

The Executive Assistant will work closely with the CEO to ensure the smooth flow of administrative processes in Manila office, act as main point-of-contact for administrative concerns and provide secretarial and administrative support in a well-organized and timely manner. You will work on a one-to-one basis on a variety of tasks related to officer’s working life and communication. You will help the officer to make the best use of their time by dealing with daily business or personal tasks.

Roles and responsibilities:

  • Perform administrative duties as assigned
  • Act as HR Personnel for a small team
  • Plan, arrange, and manage meetings
  • Handle rent, supplies and other office needs
  • Act as a liaison with other departments
  • Maintain proper filing system and accurate record keeping of key contact information
  • Ensure confidentiality, accuracy and completeness in preparing reports/ documentations
  • Provide secretarial and administrative support to the CEO
  • Manage the CEO’s schedule, appointment, calendar including events and conferences
  • Manage travel and team event schedule including budgeting
  • Assist on running personal errands when needed
  • Ad-hoc activities if necessary

Requirements:

  • Minimum 1 to 2 years of secretarial experience required
  • Knowledge of office management systems and procedures
  • Excellent organizational skills and ability to multi-task
  • Able to travel with CEO as and when required
  • Ability to work under pressure and meet deadlines
  • Attention to detail, meticulous and able to work independently with minimal supervision
  • Ability to exercise discretion in dealing with confidential or sensitive matters
